Using Portfolio Integration When Submitting
ArtistsUpdated Apr 16, 2026
Your Crafted Call portfolio is a permanent catalog of your artwork. When you submit to calls, you can leverage this portfolio to speed up the process and ensure consistency. Here's how to use portfolio integration to your advantage.
What Is Your Portfolio?
Your portfolio is your personal gallery within Crafted Call. It's a curated collection of your completed works with all their details pre-filled:
Images (multiple views or detail shots)
Title, date, and dimensions
Materials and technique
Price (if for sale)
Quantity available (inventory tracking)
Description and artist statement
Once you've created portfolio items, you can reuse them across multiple calls instead of re-entering the same information every time.
Setting Up Your Portfolio
Before submitting to any calls:
Go to your Portfolio section
Click "Add New Item" or "Create Portfolio Entry"
Fill in the artwork details:
Upload high-quality images
Enter title, date, dimensions
Add materials and technique
Write a brief description (optional)
Set price (if selling)
Mark quantity available (stock)
Click Save
Best practice: Create portfolio items for all your current work before applying to calls. You'll have everything ready to go, and you can create a submission in seconds.
You can create as many portfolio items as you want. Keep them organized and up-to-date.
Using the Portfolio Picker During Submission
When you start a call application, you'll see an option to select from your portfolio:
Fill in basic submission information (title, dimensions, etc.)
Look for a "Select from Portfolio" or "Portfolio Picker" button
Click it to open your portfolio
Browse or search your portfolio items
Click the item you want to submit
All details automatically populate the form
Images are already uploaded (no re-uploading needed)
This saves you time and ensures accuracy.

Benefits of Portfolio Integration
Speed: Instead of filling out a submission form from scratch, click a few buttons and you're done.
Consistency: Your artwork information is the same across every call submission. No typos or conflicting details.
Images Already Uploaded: You don't need to re-upload images every time. They're stored in your portfolio and instantly available.
Easy Updates: If you need to correct dimensions or add new details, update your portfolio once and the change applies everywhere.
Portfolio Page: Your portfolio creates a public-facing web page galleries can visit anytime to see your full body of work (not just submissions).
Keeping Your Portfolio Current
Your portfolio is most useful when it's accurate and up-to-date.
Add New Work Regularly:
After completing a new piece, add it to your portfolio immediately
Don't wait until you're applying to a call
Update Inventory:
Mark quantity as "1" if it's a one-of-a-kind piece
Update stock when work sells
Set to "0" if work is no longer available
Retire Old Work:
You can archive or delete portfolio items you no longer want to promote
This keeps your portfolio focused and current
Keep Descriptions Fresh:
Update dimensions, materials, or details if you refine your understanding of a piece
Add new images if you get better photos
Tip: Review your portfolio every 3–6 months. Remove sold work, add new pieces, and update any outdated information. A well-maintained portfolio makes submissions fast and professional.
Sharing Your Portfolio
Your portfolio creates a public portfolio page (if you enable sharing):
Galleries can visit your unique portfolio link to see all your work
You can share the link on your website, social media, or in emails
It showcases your range and body of work
Some galleries may discover you through your public portfolio even if you haven't applied to their call
To enable sharing:
Go to Portfolio settings
Toggle "Make Portfolio Public"
Copy your portfolio link
Share it with galleries and peers
Privacy & Control
Your portfolio is yours to control:
Public: Anyone with the link can see your portfolio
Private: Only you and galleries you submit to can see it
Collections: Create themed collections (e.g., "Sculptures," "Paintings") to organize your work
Choose the setting that feels right for your practice.
Submitting Without Your Portfolio
If an artwork isn't in your portfolio yet, you can still submit to a call:
Fill in all details manually
Upload images directly in the submission form
This is slower than using portfolio integration, but it works
Consider adding the work to your portfolio after you submit, so it's ready for future calls.
Portfolio vs. Submissions
Remember the difference:
Portfolio: Your permanent, curated collection of finished works (internal to Crafted Call)
Submission: Your application to a specific call (tied to that call's requirements and deadlines)
Your portfolio is the source; submissions pull from it and are customized for each call.
Bottom line: Invest time upfront building a strong, organized portfolio. It'll save you hours during the submission season and help galleries get a complete picture of your practice.
