Viewing Your Earnings & Payout Records

When your work sells through a gallery using Crafted Call, the Earnings page in your artist account shows what you have earned, what is still owed to you, and what has already been paid. This is the page to open when you want to know whether a sale has been paid out, and it is the record to keep for your own bookkeeping.

Opening your earnings

Sign in and go to Earnings in your artist account. The page covers artwork sales through galleries. Entry fees you have paid to enter calls are not earnings and appear with your submissions instead.

At the top, four figures summarise everything:

Total Earned is your share of every recorded sale.
Pending is money owed to you but not yet paid, including a payout that is on its way.
Paid Out is what the gallery has sent or recorded as sent.
Total Sales counts the pieces sold.

If you sell through galleries in more than one country, you get one set of these figures per currency. Crafted Call never adds Australian dollars to United States dollars to make a single number, because that number would not mean anything.

Getting paid

A banner at the top tells you where you stand with payouts:

Connect Stripe to receive payouts means you have not set up direct payment yet. Use Complete Stripe Setup to connect your account.
Stripe Connected means galleries can send your share straight to your bank.

Connecting Stripe is optional. Galleries can also pay you by check, cash or transfer and record the payment in Crafted Call afterwards, which is why some payouts show a method other than Stripe. Never send bank or account details through messages or comments; connecting your own Stripe account is how you give payment details safely.

Reading your payout history

Payout History lists every payout galleries have made to you for artwork sales, with Date, Gallery, Sales, Gross Amount, Net Payout, Method and Status.

Gross amount is what the buyer paid. Net payout is your share after the gallery's commission and, for card sales, processing fees. The gap between the two is the commission you agreed with the gallery, so if the split looks wrong, that is the conversation to have with them rather than with support.

Status means:

Pending: recorded and owed, not yet sent.
Processing: the gallery has started the payout.
Sent: the money is in flight. A transfer or a mailed check that has not settled yet sits here.
Completed: the payout has landed.
Failed: the payout did not go through. The reason is shown next to the status, and it is usually something you can fix, such as an incomplete Stripe setup.
Cancelled: the gallery cancelled the payout.

Below the history, Earnings by Gallery breaks the same money down per organization, and Recent Sales lists the individual pieces that sold.

If a sale is refunded

When a gallery refunds a payment tied to your work, Crafted Call emails you automatically. The subject names the piece, and the message lists the amount, the call, the reference number, and the reason if the gallery gave one. Refunds usually reach the original card in five to ten business days.

A refunded sale is deducted from what you are owed. If you had already been paid for it, the gallery will tell you how they want to settle the difference.

Commission and what you keep

The commission split is set by the gallery, either as their standard rate or as a rate agreed for a specific exhibition or for you personally. A 30 percent commission on a $200 sale means the gallery keeps $60 and your share is $140, less processing fees on card sales.

Ask the gallery what their rate is before you list work with them. Rates differ between organizations and sometimes between exhibitions at the same organization, and the number shown on your payout is whichever rate applied to that sale.

Records and tax

You are responsible for reporting your own income. Keep your own copies rather than relying on any one platform:

Save your payout history at the end of each year.
Keep the confirmation the gallery sends when they pay you.
Track your costs, such as materials, framing and shipping.

Tax paperwork comes from the organization that paid you, not from Crafted Call, and what they owe you depends on where you and they are based. In the United States a gallery may issue a 1099 once payments pass the reporting threshold. In Australia and New Zealand the arrangement is different and usually depends on whether you are registered for GST. Ask the gallery, and ask an accountant in your own country about what you have to declare.

Common questions

A sale is missing. Earnings appear once the gallery records the sale. If it is not there, ask the gallery, since they control when a sale is entered.

How often am I paid? That is the gallery's decision. Many pay after an exhibition closes or on a monthly cycle.

A payout failed. Check the reason shown next to the status. If it points at your Stripe setup, finish the setup and ask the gallery to retry.

Can I change how I am paid? Connecting Stripe changes future automatic payouts. It does not change an arrangement where a gallery mails you a check, so tell the gallery too.
