Viewing Your Earnings & Payout Records
ArtistsUpdated May 31, 2026
If your work sells through a gallery using Crafted Call, your artist dashboard may show sales, commissions, and payout records for that organization. The exact payout method and schedule are controlled by the gallery running the exhibition.
Viewing Your Dashboard Earnings
Your Dashboard shows the earnings information available for your account:
To access your earnings:
Log into your Crafted Call account
Go to Dashboard or My Account
Look for "Earnings,""Sales," or "Revenue" section
You'll see:
Total earnings to date (all-time revenue)
Pending earnings (sales recorded but not yet paid out)
Paid earnings (payouts the gallery has marked as sent or completed)
Recent transactions (list of recent sales)
View detailed transaction history:
Click "View All Transactions" or "Earnings History"
Filter by date, gallery, or status
Download transaction reports for your records (useful for taxes)
Update frequency: Earnings usually appear after the gallery records or confirms the sale. If a sale is missing, contact the gallery first because they control exhibition sales and payout timing.
Understanding Commission Structure
When you sell work through a gallery on Crafted Call, both you and the gallery earn a percentage:
The exact percentage depends on your agreement with the gallery. This is usually set when you list the work for sale or by the gallery's standard policy.
Ask questions. If you're unsure what commission split applies, contact the gallery. It's important to know before listing work.

How Payouts Work
Crafted Call helps galleries track what is owed and record payouts, but each gallery decides how and when artists are paid.
Common payout patterns include:
The gallery pays you directly by check, bank transfer, cash, or another agreed method, then records the payout in Crafted Call
The gallery uses a Stripe-connected workflow where enabled for that organization
The gallery pays on a scheduled cycle, such as after the exhibition closes or after a return window has passed
If you need to update payment details, ask the gallery how they collect payout information. Do not send bank details through public comments, chat messages, or unsecured email unless the gallery has instructed you to use that method.
Payout Status & Tracking
To check payout status:
Go to Account Settings > Payout History
You'll see:
Date recorded or scheduled
Amount
Status (Pending, Processing, Completed, Failed)
Payout method or reference, if the gallery recorded one
Status meanings:
Pending: The gallery has recorded the amount but has not marked it paid
Processing: The gallery or payment processor is working on the payout
Completed: The gallery has marked the payout as sent or completed
Failed: Something went wrong (contact support for help)
Tax Information & Reporting
You are responsible for reporting earnings for taxes. Keep records of all sales.
Tax Forms
The gallery that paid you is usually responsible for tax reporting related to artist payouts. Crafted Call can help galleries track payout records, but tax forms and filing obligations depend on the gallery, your location, and the payment method.
What to do:
Download or save transaction and payout records from your dashboard when available
Keep receipts and payout confirmations from the gallery
Contact the gallery if you expected a tax form and did not receive one
Consult a tax professional if you're unsure how to report income
Quarterly Estimated Taxes
If you expect significant earnings, you may need to pay estimated taxes quarterly to avoid penalties.
Check with a tax professional if:
Your earnings exceed $400 annually
You have no other income sources
You're not having taxes withheld
Tracking Income
Keep detailed records:
Download transaction reports from your Crafted Call dashboard
Store receipts and payout confirmations
Track expenses related to your art (materials, shipping, etc.)
Business deductions: If you're self-employed, you can deduct business expenses (supplies, equipment, studio rent, shipping). Keep receipts and consult a tax professional about what qualifies.
Common Payout Issues
Payout failed or bounced?
Contact the gallery that issued the payout
Confirm what method they used and whether they need updated information
Contact Crafted Call support only if the payout record in the platform looks incorrect
Earnings not showing?
Allow 24–48 hours for sales to appear
Refresh your dashboard
Check for pending or processing transactions
Contact the gallery if a sale isn't reflected
Can't find payout method options?
Your gallery may handle payouts outside Crafted Call
Some organizations use payout tracking only, not artist-managed payout setup
Contact the gallery to confirm their payout process
Tax form not received?
Contact the gallery that paid you
Confirm your mailing address and tax details directly with them
Keep your Crafted Call payout records for reference
Setting Prices & Commission Negotiations
When listing work for sale:
You set the retail price (what customers pay)
The gallery applies the commission percentage
You receive: Retail Price × (100% - Commission%)
Example:
You set price at $200
Gallery commission is 30%
Gallery receives: $200 × 30% = $60
You receive: $200 - $60 = $140
Can you negotiate commissions?
Some galleries have fixed commission rates (non-negotiable)
Others may negotiate based on:
Volume of sales
Exclusivity agreements
Long-term relationships
Gallery size and visibility
Ask the gallery about their commission structure upfront. Clear agreements prevent misunderstandings later.
FAQs
How often are payouts processed?
It depends on the gallery's policy
Many galleries pay after the exhibition closes, after buyer payment clears, or on a monthly schedule
Is there a minimum payout amount?
Minimums vary by gallery and payment method
Can I change payout methods?
Ask the gallery how they collect payout information
Do not assume a change in Crafted Call changes an external check, wire, or accounting process
Do I pay fees for payouts?
Payout fees depend on the gallery's payment method and agreement with you
Ask the gallery if any bank, wire, or processor fees apply
What if I move to a different country?
Payout options may change
Contact support to discuss international payment methods
Tracking your earnings helps you reconcile sales and payments with each gallery. Keep good records and consult a tax professional about reporting requirements in your area.
