A healthy subscriber list is the foundation of effective email marketing. This guide covers managing subscribers, importing lists, and embedding signup forms on your website.
Understanding Your Subscriber List
Your subscriber list contains all contacts who have opted in to receive communications from your gallery. Navigate to Marketing > Subscribers to view and manage your list.
The subscriber list displays:
Email address - The subscriber's email
Status - Active, unsubscribed, bounced, or pending confirmation
Date subscribed - When the subscriber joined your list
Tags - Custom labels for segmentation (e.g., "Artist," "Collector," "Newsletter")
Engagement level - Tracks open and click rates over the last 90 days
Subscriber Statuses
Active - The subscriber is confirmed and receiving campaigns. They have opted in via signup form, import, or manual addition.
Pending - The subscriber is awaiting email confirmation (double opt-in). They'll receive a confirmation email and become active once they click the confirmation link.
Unsubscribed - The subscriber has requested removal from your list. This is permanent. Unsubscribed subscribers cannot receive campaigns, and you must not manually resubscribe them.
Bounced - The email address is invalid or no longer exists. Bounced addresses cannot receive campaigns. Review bounce details to determine if the email is permanently invalid or temporarily unreachable.
Important: Respect unsubscribe requests immediately. Sending to unsubscribed addresses violates email regulations and damages your sender reputation.
Adding Subscribers Manually
To add a single subscriber:
Click Add Subscriber in the subscribers view
Enter the email address
Optionally add tags for segmentation
Select Add
The subscriber is immediately added as active and will receive your next campaign. Use manual addition for one-off subscribers or special cases.
Importing Subscriber Lists
To import multiple subscribers from a CSV file:
Navigate to Marketing > Subscribers

Select your CSV file
Map columns (ensure your CSV contains at minimum an email column)
Configure import settings (see below)
Review the preview and click Import
CSV Requirements:
Your CSV must include an email column
Column headers are required (first row)
One email per row
Optional columns: first name, last name, tags (comma-separated), subscription date
Double opt-in - New subscribers must confirm via email before becoming active
Apply tags - Automatically assign tags to all imported subscribers
Tip: Test your CSV by importing a small sample first. Check for duplicate handling and tag assignment before importing your full list.
Double Opt-In Process
Double opt-in requires subscribers to confirm their email address before being added to your active list. This protects your sender reputation and ensures subscribers genuinely want to hear from you.
When you enable double opt-in (either during import or in signup forms), subscribers:
Enter their email
Receive a confirmation email with a verification link
Click the link to confirm
Become active subscribers
Subscribers have 30 days to confirm. Unconfirmed subscriptions are automatically deleted after this period.
Best practice: Use double opt-in for all new subscribers. This reduces bounce rates and improves deliverability.
Website Signup Forms
Embed signup forms on your website to grow your subscriber list. Crafted Call generates embeddable form code that works on any website.
Creating a Signup Form:
Navigate to Marketing > Signup Forms
Click New Form
Name your form (e.g., "Newsletter Signup - Homepage")
Configure form fields:
Email (required)
First name (optional)
Last name (optional)
Organization (optional)
Custom fields (add via the field editor)
Set form behavior:
Enable double opt-in
Auto-apply tags (e.g., "Website Subscriber")
Redirect URL after submission
Success message text
Click Generate Code
Embedding the Form:
Copy the generated embed code and paste it into your website's HTML. The form is fully responsive and matches your site's styling through CSS variables. No technical configuration is needed beyond pasting the code.

Unsubscribe Management
Crafted Call automatically includes unsubscribe links in every campaign email. Subscribers who click unsubscribe are:
Immediately removed from your active list
Marked as unsubscribed (no resubscription allowed)
Sent a confirmation email
You can manually unsubscribe individual subscribers from the subscriber list view, but this should be reserved for spam complaints or email bounces.
Compliance note: Email regulations (CAN-SPAM, GDPR, CASL) require unsubscribe options and respect for unsubscribe requests. Crafted Call's unsubscribe management ensures you stay compliant.
